Many programs collect solid assessment data but stall when it comes to action. Reports get filed, conversations happen, then momentum fades. This week focuses on a practical workflow that uses GenAI to help translate assessment findings into clear, trackable improvement actions that programs can actually follow through on.

Closing the loop sounds simple. Review results, make improvements, reassess. In practice, this is where many assessment processes break down. Findings are often too broad, actions are vague, and follow-up is inconsistent. GenAI can help programs move from general observations to specific, actionable steps without replacing faculty judgment.

A small shift in how findings are translated into decisions can make the entire cycle more effective.

Closing the loop refers to using assessment results to improve teaching, curriculum, or student learning. It is a central expectation in accreditation and program review, yet one of the most difficult parts of the assessment cycle to implement consistently.
Assessment literature has long emphasized that collecting data is not enough. Banta and Palomba stress that the value of assessment lies in how results are used to inform decisions and improve learning (Banta & Palomba, 2015). Without action, assessment becomes compliance rather than improvement.
Similarly, Kuh and colleagues, through AAC&U work on student learning and high-impact practices, highlight that evidence should lead to changes in educational practice, not just documentation (Kuh, 2008). The focus is on improving student outcomes, not simply reporting them.
NILOA has also noted that many institutions struggle with making meaningful use of assessment findings. Reports often include statements like “students performed below expectations,” followed by general plans such as “faculty will discuss results.” These statements rarely lead to measurable change (NILOA, 2018).
The challenge is not lack of data. It is translating findings into specific actions that can be implemented, monitored, and evaluated.
Backward design offers a useful lens here. Wiggins and McTighe argue that educators should start with desired outcomes and align instruction and assessment accordingly (Wiggins & McTighe, 2005). When applied to closing the loop, this means defining what improvement should look like before selecting interventions.

🔍 Step 1. Clarify the finding
Start with a clean, specific statement.
Example

🧠 Step 2. Ask AI to generate possible causes
Prompt example
“What are 4–5 plausible reasons students struggle with interpreting statistical results at the senior level?”
This helps expand thinking beyond initial assumptions.
Faculty should validate or reject these causes.
⚙️ Step 3. Turn causes into actions
Ask AI
“For each cause, suggest one specific instructional or curricular change.”
Good outputs include things like:
- add scaffolded data interpretation exercises in earlier courses
- revise rubric criteria to emphasize interpretation over calculation

This is where many programs struggle.
Ask
“Rewrite these actions so they are specific, measurable, and trackable within one academic year.”
Now actions become:
- integrate two structured data interpretation assignments in Course X
- revise rubric with a new interpretation criterion and pilot it in fall

This connects action back to assessment.

Setting: A Business Analytics program reviewing rubric data from a capstone course.
Faculty noticed that students scored lower on “data interpretation” compared to “technical analysis.” The annual report included the statement:
Students need improvement in interpreting results.
During the meeting, discussion stayed general. Some faculty suggested students lacked practice. Others thought the issue was writing skills.
The assessment coordinator introduced a simple AI-assisted workflow.
First, the finding was clarified.
Students can run analyses but struggle to explain what the results mean in context.
Next, the team asked AI to generate possible causes. The suggestions included limited early practice, overemphasis on tools, and lack of feedback on interpretation.
Faculty agreed with two of these.
Then they asked AI to suggest actions tied to those causes. One suggestion stood out.
Introduce short interpretation-focused assignments in a mid-level course before the capstone.
